Findability in the Age of AI Starts with a Strong Taxonomy

Artificial intelligence (AI) can search vast collections of information in seconds, interpret natural language and surface connections people might otherwise miss. But even the smartest AI tools can struggle when an organization’s information is inconsistent, poorly described or difficult to access. This interesting topic came from Hedden Information Management in their article, “Generative AI and Taxonomies for Finding Information.”

That is why a solid, custom, standards-based taxonomy remains one of the best investments an organization can make in findability.

A taxonomy provides a consistent way to organize and describe information using agreed-upon terms and relationships. A custom taxonomy reflects the organization’s work, audiences and language, while recognized standards provide a foundation for consistency and interoperability across systems.

Consider an organization where one department labels content “customer support,” another uses “client services,” and a third calls it “help desk.” A well-designed taxonomy can connect those terms, helping people and AI systems find relevant information regardless of which phrase they use.

The benefits extend beyond search. Consistent classification supports content management, analytics, data governance and AI applications that retrieve organizational knowledge to answer questions. It also gives people a shared language for understanding what information exists and how it relates. NIST notes that standardized terms support the organization and discovery of large collections of resources.

AI can help suggest tags and identify relationships, but human expertise is still needed to establish meaning, resolve ambiguity and maintain the taxonomy as the organization evolves.

A taxonomy alone will not guarantee accurate AI answers or make inaccessible information findable. Content quality, permissions and system design matter, too. But when those elements work together, a standards-based taxonomy gives both people and technology a stronger foundation for finding the right information when they need it.

Search has become more intelligent, personalized and diverse, leveraging technologies to deliver faster and more accurate results across a wide range of platforms and devices. Making the content findable is important to knowledge management. Access Innovations is one of a very small number of companies able to help its clients generate ANSI/ISO/W3C-compliant taxonomies to make their information findable.
